Tennis Club Software

Due for release in December 2024, the Tennis Club Software aims to revolutionize the booking experience for players and management. The software is designed to streamline court and coach bookings, facilitate group sessions, and enhance overall club management. Our objectives include improving user experience, increasing court utilization, and providing comprehensive management tools.

The software features a user-friendly interface for both web and mobile platforms. Players and administrators will benefit from an intuitive design, ensuring a seamless experience.

 

Court booking 

  • Online Availability and Booking: Players can view and book courts online. 
  • Dynamic Pricing Control: Adjust court pricing based on time, day, and membership status
  • Booking Limits and Sanctions: Implement maximum future bookings per player and sanctions for no-shows 
    • For example: prevent future bookings for [1 month] or a fine after [x] offences
  • Players can edit the bookings on-line for permissible changes (with no need for staff interjections)
    • Change of court (dynamically managing availability)
    • Change of date/time (dynamically managing availability)
    • Adding/subtracting players (subject to maximum booking limits etc)
    • Within Cancellation policy
  • Automated Notifications: Calendar invitations and reminders via email and WhatsApp Calendar invitations 
    • T-1 email and WhatsApp reminders sent automatically
  • Child bookings: Consolidated billing for child bookings under the parent Booking History
  • Players to view their booking history and statistics.
  • Weather information provided

 

On-line Coach booking

  • Coach Availability and Pricing: View and book coaches online
    • Automatically linking to available courts
  • Client can edit the booking similar to the court booking (i.e. subject to availability)
  • Coach Profiles: Include detailed coach profiles with qualifications, experience, and reviews
  • Session Feedback: Allow clients to provide feedback on coaching sessions

Group sessions

  • Group sessions can be set up in advance and be either be ‘Open’ or ‘Private, By invite’, either by the club or by members ‘privately’ 
    • Inclusion can include constraints for age/gender/standard (e.g. Men’s Doubles session open only to gentlemen; Ladies Doubles to ladies etc)
    • For ‘Private’ groups, a designated Administrator can control access
  • Advanced Scheduling: Sessions can be scheduled for multiple weeks in advance and link to court availability
  • Club members can sign up to group and can see attendees signed up on each session
  • Reserve System: Automatic promotion of reserves when a player drops out.
  • Charges can be applied to the session, which are deducted from the each players’ kitty
  • Session Ratings**: Players can rate group sessions for future improvements.

 

 

Player meet-up and calendar management

  • Player Matching Algorithm:  Players can sign-up to meet other player and limit who they are willing to play with according to gender and/or standard
    • Player standard can be assessed by a coach
  • Once signed up, players can filter by gender or skill level and accept or ignore requests (similar to Facebook, LinkedIn etc)
  • Availability Mapping: Players can advertise the times that they are available each week and see matches across their fellow players to co-ordinate diaries.
    • Player availability is synchronised with court availability 

 

Funds management (optional)

  • Clients can maintain a “kitty” and all charges can be deducted from the kitty. Court payments, coach payments and even F&B or merchandising can be managed this way
    • Court costs can be automatically split amongst players
    • The kitty reduces credit card fees paid by the club 
  • Clients receive emails on all chargeable events and login details are not editable by clients. Could be linked to a member QR code if desired
  • Transaction History: Detailed transaction history for transparency
  • Auto-Top-Up: Option for automatic top-up of the kitty when the balance is low.


 

Club management

  • Initial club set up is controlled by a Admin control panel and can be set up in minutes. 
    • Contact details, address, maplinks, social media, website copy and photos
  • Court pricing can be set up for different prices on different days and time
  • Club membership including expiries and different classes of members 
    • Club memberships can be imported from xls
  • Player database
    • Importable from xls
    • Children are linked to parents membership
  • Management stats immediately available:
    • Court and coach usage statistics
    • Possible to link to coach payroll
  • Event Management: Capabilities for managing club events, newsletters, and announcements.
  • Custom Reports: Customizable reporting features for various metrics.

  • For players: 
    • User manuals, video tutorials available on-line 
  • For staff:
    • Comprehensive training (1-2 hours) for onboarding for new users and administrative functionality

  • Seeding managed by coach and from there a draw is produced and managed over the life of the tournament
