Seasonal Worker Onboarding Platform for the Swiss Alps
This project is a digital onboarding platform designed for employers in the Swiss alpine regions who recruit large numbers of international seasonal workers each winter.
The platform simplifies recruitment administration by replacing fragmented, paper-based onboarding with a single, structured digital workflow that supports employers, employees, and local authorities.
Context and Problem
Each winter season, employers across the Valais Alps hire hundreds of seasonal staff from across Europe and beyond. Onboarding typically involves multiple authorities and institutions, including population offices, health insurers, and banks.
In practice, this process is:
- Highly repetitive, with the same information entered into multiple forms
- Language-dependent, creating friction and errors for non-native speakers
- Time-consuming for HR teams and line managers
- Difficult to coordinate when workers arrive in large groups over a short period
- The objective was to create a system that standardises and automates onboarding while remaining compliant with Swiss federal and cantonal requirements.
The Solution
We designed and built a multilingual onboarding platform that digitises the entire process from data collection to document generation.
The platform centralises all required information and automatically produces the documents needed for employment, insurance, residency, and administration.
Key capabilities include:
Single data capture, multiple outputs
- Workers enter personal details once. The system reuses this data to populate all required government, insurance, and banking forms.
Multilingual interface
- The platform is available in all major EU languages, ensuring workers clearly understand what information is being requested.
Automated form generation
- User inputs are interpreted and inserted into official Swiss forms (including PDF formats), reducing manual errors.
Batch processing for employers
- HR teams can generate complete document packs for multiple employees at once, streamlining interactions with population offices and insurers.
Real-time progress tracking
- Employers can monitor onboarding status, identify missing items, and send reminders directly through the system.
